Guidelines on the Use of Generative Artificial Intelligence (GAI)

The emergence of generative artificial intelligence (GAI) has prompted the Creative Industries Fund NL to establish guidelines for our staff members, advisers and applicants. We would like to inform you about what the Guidelines on the Use of Generative Artificial Intelligence (GAI) mean for you as an applicant.

We see (and understand) that applicants use generative AI for support and inspiration when writing their grant applications. This is allowed, and using generative AI does not affect the assessment of your application. However, we do ask you to use these tools responsibly and transparently.

As an applicant, you are always ultimately responsible for the content of your application. Careless use of AI can lead to errors such as hallucinations (fabricated information), plagiarism or incorrect citations. If the advisory committee identifies such errors in your application, this can negatively affect the assessment. It is therefore essential that you always verify AI-generated content for accuracy and completeness.

We also ask you to be transparent about your use of AI. Clearly explain whether and how you have used AI in the writing process. This shows you are taking responsibility for your application and helps us develop our AI policy further.

"The use of generative AI by applicants to the Creative Industries Fund NL has grown enormously in recent years. Together with the other national cultural funds, we established a generative AI working group in 2025. These guidelines are an initial result, as is a pilot already underway investigating responsible uses of AI in our grant and operational processes. For this, we are using a European AI model. We will share the results from the pilots as widely as possible and adjust the guidelines where necessary based on experiences and developments," said Syb Groeneveld, Executive Director of the Creative Industries Fund NL.

Please note: these guidelines concern the use of AI when writing your application, not the use of AI within your project itself. If you are using generative AI within your project, clearly explain in your project plan how you will do this.
